Aquatic Rental Rates

Aquatic rental rates are organized by room charges, equipment charges, miscellaneous fees and personnel fees. Rates are effective July 1, 2026.

Aquatic Room Charge Details

Reservation Start and End Times

Aquatic room charges apply when the facility is in use by the renter or rendered unavailable to other groups during facility hours or athletic practice times.

Aquatic room charges also apply for setup and teardown during facility hours when that space is rendered unavailable to other groups. These times are determined at the discretion of Aquatic Event Management staff and will be listed on the Facility Confirmation.

Rental start and end times may be adjusted on the Facility Confirmation up to 14 business days prior to the start of the event.

Aquatic Equipment Charge Details

Equipment Start and End Times

Hourly aquatic equipment charges for Timing/Scoring System begin one hour prior to the time that the deck is scheduled to open to participants until the actual conclusion of competition or the event. End time for Timing/Scoring System, Timing Far End, Relay Judging Platforms, Scoreboard and Sound System may differ based on equipment used by session.

Standalone Start System

Use of a standalone start system not connected to any other timing equipment.

Timing/Scoring System – Tier 1

Swimming events: One timing/scoring system, touch pads, horns, pushbuttons, a computer to operate Hy-Tek scoring and one start system on one end of the pool, the sound system and aquatic lead staff oversight. Additional staffing charges for CTS operators will apply. Hy-Tek operator not provided by the university.

Diving and artistic swimming events: One scoring system, judging panels, a computer to operate a scoring program and aquatic lead staff oversight. Additional staffing charges for scoring operators will apply if those staff are needed and available. Dive/artistic table coordinator not provided by the university.

Timing/Scoring System – Tier 2

Swimming events: An additional timing/scoring system, touch pads, horns, pushbuttons and a second start system for the other end of the pool.

Diving and artistic swimming events: One scoring system, flash cards for diving, a computer to operate a scoring program and aquatic lead staff oversight. Additional staffing charges for scoring operators will apply if those staff are needed and available. Dive/artistic table coordinator not provided by the university.

Timing – Far End

Far end touch pads and/or pushbutton capabilities, or an additional start system.

Relay Judging Platforms

Use of relay judging platforms on one end of the pool.

Scoreboard

Use of scoreboard in the Aquatic Pavilion when not rented in conjunction with the Timing/Scoring System. Scoreboard operator and sound system not included.

Sound System

Use of the sound system or a portable PA in the Aquatic Pavilion when not rented in conjunction with the Timing/Scoring System.

Awards Stand

Use of the aquatics awards stand. Up to eight podiums, each at a different height. Includes skirting.

Bulkhead Move

Each time one or both bulkheads are moved between sessions or days of competition for the purpose of accommodating variable courses/distances, such as SCY prelims to LCM finals, for a multi-session swimming rental. Staffing to move bulkheads not included.

Vendor and Concession Sales Fee

Vendor fee applies when aquatic rental groups request to bring in outside vendors for merchandise sales or concession sales. Fee does not apply when rental groups create and sell their own T-shirts or run their own concessions. Rental groups may assume this charge as a cost of the event or request to have the vendor pay the university directly. A separate fee is charged for each vendor if multiple vendors are approved for an event.

All vendors, including rental groups doing their own sales, must sign a vendor agreement and return it prior to the start of the event. No vendors will be approved if they conflict with university sponsor agreements unless negotiated in the initial planning stages and approved in writing through an additional contract by University Legal Services. Artwork and logos must be approved by Rec Sports, and Trademark and Licensing if applicable, no less than 15 business days prior to the start of the event.

Rec Sports retains first right of refusal for concession sales. When a rental group is approved to sell concessions, a City of Columbus temporary health permit may be required depending on the type of food being sold, food preparation requirements and food packaging. Securing a temporary health permit is the responsibility of the vendor providing concessions. The process for securing a temporary health permit should be started 15 business days prior to the start of the event.

Parking Garage Event Staffing

At-cost staffing fee for parking garage attendants required for large-scale events utilizing garages or that are deemed to be an impact to campus as determined by Aquatic Event Management staff and CampusParc. Aquatic Event Management staff will help facilitate a parking plan for large-scale events with CampusParc. Requests for event parking should be made at the time of the reservation request.

Meet Copier Rental

Copier rentals for large-scale, multi-day events must be made no less than 30 days prior to the start of the event and are based on availability. Paper is not provided. It is suggested that two copiers be requested for high-volume events.

Aquatic Personnel Fee Details

Meet Entry Inputting

Aquatic staff will input meet entries into Hy-Tek or an agreed-upon computer scoring system.

Event Administrator Fee

Cost recovery for non-student event support staff and Aquatic professional staff overtime in support of events.

Rec Sports Fee Details

Rec Sports Staff – Before/After Facility Hours

When Rec Sports staff are brought in outside of RPAC facility hours, staffing fees will be applied.

Rec Sports Equipment – Tables, Chairs, Pipe and Drape

Use of RPAC tables, chairs, pipe and drape for aquatic events. This list is not all-inclusive. Fees for other items may apply.
